Telephone Services is pleased to announce a new voicemail service coming May 20, 2024 called Avaya Messaging. Your new voicemail service provides a web access portal for managing messages and voicemail settings for Lab phones online and a new feature that allows callers to reach you by defining “find me” rules so your calls follow you where you are available. Avaya Messaging also integrates with the Avaya Workplace Softphone application offered today, which allows you to place and receive calls using your Lab phone number from a smartphone, computer or tablet.
Avaya Messaging introduces new features and increased user controls.
- Find Me Rules: A powerful new feature that works like a personal attendant!
- Decide when callers can reach you based on a work schedule you define.
- Offer callers the option to locate you at alternate numbers while maintaining your phone number privacy.
- Receive voicemail in Gmail: Don’t be bothered by a message light and never call into voicemail again.
- You only access and playback audio messages in Gmail. No messages are stored in the voicemail system1. This disables the message waiting indicator light on your desk phone and Avaya Workplace Softphone.
(Email TSC@lbl.gov to have this set up for you or set it up yourself using these Message Forwarding steps)
- You only access and playback audio messages in Gmail. No messages are stored in the voicemail system1. This disables the message waiting indicator light on your desk phone and Avaya Workplace Softphone.
- Web Access portal – Manage your voicemail messages and settings online. To access, refer to the Avaya Web Access User Guide.
What do I need to do before May 20th?
You don’t have to do anything for the new voicemail to begin taking messages on May 20th. However, starting on May 6th, 2024 you may access the new voicemail system ahead of time to complete the initial voicemail box setup. This allows you to personalize your Greeting and Name in your own voice. A setup wizard will walk you through the needed steps.
How to set up your Avaya Messaging mailbox (early access starts 5/6/2024):
- Dial 510-495-8950 from an outside phone number, or x8950 from a Lab number.
- Enter your 4-digit mailbox number if prompted.
- Enter the temporary Password if prompted (email TSC@lbl.gov for password).
- Enter a new Password (minimum 4 digits in length, without repeating or sequential digits).
- Enter the new Password again to confirm.
- Record your Greeting and your Name when prompted, or use the ones created by the system.
What happens to messages in my old voicemail box after May 20th?
You may access your old voicemail box through June 20, 2024 using the steps below.
To access the old voicemail system:
- Dial 510-486-7900 from an outside number, or x7900 from a Lab number.
- Enter your 4-digit mailbox number and your Security Code if prompted. If you do not know your Security Code email TSC@lbl.gov to have it reset.

1You still have the option of keeping the original message in the voicemail system. This allows the message light to appear on your desk phone and in the Avaya Workplace Softphone until you listen to the original by telephone or through the Avaya Web Access portal.
