While many people were excited to learn about Google Workspace Studio Flows in the January Jumpstart series last month, some weren’t sure how to incorporate it into their daily work. Fortunately, we have a great Studio Flow that anyone at Berkeley Lab can try to build their Google Studio skills: creating a Studio Flow to automatically label email records.
This IT Policy article gives step-by-step instructions on how to use Studio featuring screen shots as well as a sample description for the Flow. The sample description is a good starting point for you to personalize your specific needs. Some ways you could personalize it include:
- Mentioning your job title and responsibilities to provide the AI model better context of your work
- Ensure that automated email notifications generated by a system are never labeled
- Require that emails from a specific sender are always labeled as email records
You can review additional Flow personalizations for the email records prompt by following this link.
Once enabled, the Flow runs entirely within your account and evaluates incoming messages in real time. Emails that meet the criteria are automatically labeled, helping you stay compliant with records requirements with minimal manual effort.
If you’ve already tried this and you’ve added your own personalization that works for you, we’d love to hear from you.
Try to build your own personalized Studio Flow to identify and retail official email records.
